Executive Assistant

This position is responsible for the routine administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, or providing information to callers. This role reports directly to the CEO.

Responsibilities

    • Schedule and confirm internal and external meetings.
    • Effectively coordinate and book logistical issues such as travel arrangements for in-person meetings and events in our various markets
    • Facilitate communication by serving as the primary point of contact for both internal employees and external donors/partners on behalf of the CEO.
    • Organize and maintain the CEO’s schedule in a way that allows her to maximize her time and efficiency
    • Regularly provide briefing materials to supervisors, co-workers, and partners in order to streamline communications
    • Provide various administrative support to our senior leaders to help ensure organizational goals are being met and operations are running smoothly
    • Attend select meetings, take notes, capture action items, and ensure follow through
    • Support continuous partner relationship development
    • Perform follow-ups with partners and prospective donors to cultivate relationships and instill a positive perception of the National Diversity Council
    • Assist with technological issues
    • Perform other administrative duties as they arise

 

Required Qualifications

    • Proven ability to use outstanding interpersonal, political navigation, and communication skills to build strong relationships and negotiate challenging situations, often with senior executives, in a friendly and professional way
    • Highly organized and highly detail-oriented with strong project management skills; able to perform and prioritize multiple tasks seamlessly
    • Expert-level verbal and written communication skills
    • Demonstrate proactive approaches to problem-solving with strong decision-making capability
    • Exemplify a sense of urgency while also maintaining high-quality work
    • Proficiency with Microsoft Office (Word, Excel, PowerPoint, etc.) and Google Workspace (Gmail, Meet, Drive, etc.)
    • 2-3 years of related clerical experience
    • Bachelor’s degree in a related field

 Job Types: Full-time

Salary: $47,000.00 – $50,000.00 per year
