JOB TITLE: Event Programmer
EMPLOYER: National Diversity Council
DEPARTMENT: Partnerships & Events
REPORTS TO: AVP, Strategic Partnerships & Marketing 
 
SUMMARY: The senior event programmer is responsible for organizing and executing events and programs that help the National Diversity Council achieve its mission of promoting DEIB in the workplace and community. The events and programs take place in person and virtually and range from workshops, lunch and learn sessions, webinars, half day summits and symposiums, and full day conferences. 
 
DUTIES AND RESPONSIBILITIES INCLUDE:
● Ensure high quality execution of events and meetings so they contribute value to the organization’s brand, growth, and stakeholder base 
● Coordinate, manage, and lead various types of events (i.e., small workshops, meetings, medium-size Symposiums, large-scale Conferences, etc.) in person, hybrid, and virtually
● Identify and confirm appropriate venue, food and beverage, and all other logistics for in person events
● Manage event budgets
● Engage in internal event brainstorming meetings and discussions for team collaboration and event development purposes 
● Ensure webpages, salesforce, and google drive databases are fully up to date with event data for marketing and knowledge sharing purposes 
● Coordinate with Communications to ensure that all materials, eblasts and marketing is are completed successfully
● Formulate and share important written communications to all event participantOrder and set up physical items for successful events – 
● Facilitate event and meeting remarks and dialogue as needed
● Develop documents needed for meetings and distribute them by deadline to meeting attendees 
● Create, share, and analyze data collection surveys to determine event value and satisfaction, and respond to feedback in a strategic and intentional manner  
● Follow organizational processes and protocols related to events and other internal matters
● In collaboration with the partnership team:
            ● Develop a revenue generation strategy for events
            ● Ensure event fundraising metrics and goals are met
            ● Select strategic speakers for events that meet the criteria and promote DEIB efforts 
            ● Engage partner organizations via the Board, Advisory Board, and committees to promote partner engagement and retention, and simultaneously achieve event and meeting goals 
           ● Ensure partners fully leverage their event, meeting, and program benefits, such as event and chapter meeting registrations 
           ● Construct and share important communications (i.e., progress reports, upcoming benefits emails, organizational changes, etc.) with partners professionally by designated deadlines. 
           ● Manage event chairs and volunteers who help support planning efforts for specific events
           ● Develop new events and programs as needed to cater to specific markets or initiative needs 
           ● Develop and prepare materials for quarterly meetings with Board of Directors in a high quality manner and by designated deadlines
           ● Spearhead ad hoc projects requested by partner organizations pertaining to events, meetings, and programs 

● Performs other related duties as assigned by management 
 
QUALIFICATIONS:
● Bachelor’s Degree or equivalent and 3+ years of event planning experience, or equivalent combination of education and experience.

PHYSICAL DEMANDS AND WORK ENVIRONMENT:
● Occasionally required to arrive to event venues or meetings very early or late evening for set up or oversight purposes.
● Occasionally required to lift items up to 30 lbs for events or meetings. 

TRAVEL:  
● Travel required up to 30%.
