JOB TITLE: Event Programmer

REPORTS TO:Event Manager and Trainer

 SUMMARY: The event programmer executes events, meetings, and programs within their designated market and/or initiative to meet organizational mission, revenue goals, and stakeholder expectations.

 DUTIES AND RESPONSIBILITIES:

    ● Programming
    o Strategize, coordinate, manage, and lead various types of events (i.e., small workshops/networking opportunities, medium-size Symposiums, large-scale Conferences, etc.) in person, hybrid and virtual via Zoom
    o Identify and confirm in-kind and/or paid venue, food and beverage, and all other logistics for in person events
    o Manage event budgets to meet revenue goals and garner funding through sponsorship outreach and fundraising to meet key metrics and goals
    o Find strategic speakers for events that meet criteria and promote DEIB efforts with the assistance of the NDC senior leadership and the Partnership Manager of that market.
    o Create and manage event agendas, aligning them with strategic engagement goals. Write and edit event scripts to ensure a seamless program, boost audience engagement, and reinforce key messages.
    o Manage and collaborate with event chairs and volunteers who help support planning efforts for specific events
    o Ensure webpages, salesforce, and all internal databases are fully up to date with event data for marketing and knowledge sharing purposes
    o Submit event information to the marketing team for flyers and email blasts, and ensure deadlines are met for event marketing efforts
    o Formulate and share important written communications to marketing team and event participants – speakers, moderators, volunteers, sponsors, chairs, and attendees – in a professional manner and by designated deadlines
    o Co-promote with the NDC Marketing Team events through social media outlets (i.e., Facebook, LinkedIn, Twitter, etc.) to garner fundraising, attendance, and support
    o Order and set up physical items for events – such as awards, notecards, speaker gifts, organizational banner, etc. – to optimize event quality, attendee experience, and overall success
    o Develop new events and programs as needed to cater to specific market or initiative needs
    o Engage in internal event brainstorming meetings and discussions for team collaboration and event development purposes
    o Create, share, and analyze data collection surveys to determine event value and satisfaction, and respond to feedback in a strategic and intentional manner
    o Ensure high quality execution of events so they contribute value to the organization’s brand, growth, and customer base
    o Follow organizational processes and protocols around events and other internal matters
    o Engage partner organizations via the Board, Advisory Board, and committees to promote partner engagement and retention and simultaneously achieve event and meeting goals
    o Construct and share important communications (i.e., progress reports, upcoming benefits emails, organizational changes, etc.) with partners in a professional manner by designated deadlines
    ● Meetings
    o Strategize and organize virtual chapter meetings and #NDC Voices meetings that promote DEIB content and knowledge sharing through presentations and workshops led by DEIB subject matter experts
    o Find strategic speakers for the meeting subject that meet criteria and promote DEI efforts
    o Lead opening remarks and facilitate the agenda for chapter meetings as needed
    o Construct documents needed for meetings and distribute them by deadline to meeting attendees
    o Work with Marketing Team to market chapter meetings to email lists with meeting collateral to promote attendance.
    o Set up virtual items for meetings as needed to optimize meeting quality, attendee experience, and overall success.
    o Create, share, and analyze data collection surveys to determine meeting value and satisfaction and respond to feedback accordingly
    o Ensure high-quality execution of meetings so that they contribute value to the organization’s brand, growth, and customer base

    ● Additional Duties
    o Develop and prepare reporting materials for senior leadership team and the Board of Directors in a high-quality manner and by designated deadlines
    o Spearhead ad hoc projects requested by partner organizations, and approved by VP of Operations about events, meetings, and programs
    o Performs other related duties as assigned by management

    SUPERVISORY RESPONSIBILITIES:
    ● This position does not have managerial oversight.

    ● Bachelor’s Degree or equivalent combination of education and experience.

    PHYSICAL DEMANDS AND WORK ENVIRONMENT:
    ● Occasionally required to arrive to event venues or meetings very early or late evening for set up or oversight purposes.
    ● Occasionally required to lift items up to 30 lbs for events or meetings.
